Commercial moves are complex. They involve more than just transport, impacting staff, operations, inventory, IT systems, and productivity. Start Planning Early

4 to 12 weeks before moving day.

  • Set internal budgets, objectives, and relocation goals.
  • Appoint a project lead or internal relocation team.

  • Identify what will be moved, stored, disposed of or replaced.
  • Consider fit-out requirements for your new space.
  • Communicate with building managers about access and booking requirements.

Assessments and Notifications

At least 4 weeks before moving day.

  • Confirm the floor plan and layout for your new workspace.
  • Notify your internet and phone provider of the change.
  • Arrange lift access, security clearances, and delivery permissions at both sites.
  • Begin sorting and decluttering equipment and files.
  • Prepare an inventory with your KEYS move manager.

Our tip: The clearer the access and layout plan, the faster we can move and set up. Share any special handling needs for machinery or IT.

Finalise Logistics

2 weeks before moving day.

  • Confirm packing and moving schedule with KEYS.
  • Begin transferring or backing up critical data.
  • Notify staff of move timing, packing responsibilities, and new office arrangements.
  • Arrange transit insurance.
  • Label equipment, furniture, and cables for easy reassembly.

Our tip: We can provide packing materials to give your team a head start on personal items. They don’t need to worry about their PC and monitor, furniture, files, or peripherals. We’ll handle all of that.

Prepare on Both Sides

5 to 7 days before moving day.

  • Clearly label all self-packed crates, files, and hardware.
  • Confirm utility connections at the new site.
  • Collect documents and sensitive records for faster and more secure packing.
  • Empty and prepare fridges, printers, and equipment for relocation.
  • Brief all team members on their responsibilities for moving day.

Our tip: We’ll help you manage subcontractors for layout adjustments and fit-out. In the lead-up to moving day, we’ll ensure the new site is safe and ready for your equipment.

Moving Day

  • Be present or appoint an authorised site contact.
  • Meet your KEYS team lead to walk through the job and timeline.
  • Let KEYS handle the heavy lifting, unpacking, and placement.
  • Check delivery records against your inventory list.
  • Clear final waste and prepare the vacated site for inspection.

Our tip: Keep your IT team or managed services provider on standby to assist with system testing and network reconnection.
